Types of Delegates
Overnight Delegates
An overnight delegate registration fee includes a 2 night stay in a 4 delegate room at the Marriott Inner Harbour Hotel. Upgrades to the Fairmont Empress and to lower occupancy rooms are available for a fee. Some delegations/schools will receive hotel/room upgrades free of charge, subject to a lottery system.
Day Delegates
The day delegate option is designed for those who live in close vicinity to the conference spaces. Day delegates can be independent of a school delegation, and there is no minimum requirement for teacher sponsors of schools attending as day delegates. Please note that delegates may be required to stay late into the evening. Our official schedule is not yet determined. Keep in mind that our day delegate registration prices are generally higher than many other local conferences, due to cost of the conference space and audio-visual technology.
School-Affiliated Delegates - Overnight
Most delegates attending and staying overnight at VIHSMUN will travel with their school. These delegates must be accompanied by teacher sponsors. Schools must maintain a ratio of of at least one teacher per every 4 rooms. After all delegates have registered, schools must submit a rooming plan, with a maximum of 4 delegates identifying as a common gender staying in the same room. If the rooming plan includes any 1, 2, or 3 delegate rooms, the school must pay the upgrade fees listed. School registration is not yet open, but teacher sponsors may fill out a preliminary interest survey.
Independent Delegates - Overnight
Without Legal Guardian:
VIHSMUN accepts a limited number of independent delegates (delegates not travelling with their school) as overnight guests unaccompanied by an adult. These guests will be placed in rooms with their requested peers, or randomly.
With Legal Guardian:
Independent delegates may purchase their own rooms from the Fairmont or Marriott with their families or guardians, and VIHSMUN will allow their attendance with day delegate fees. We will allow guardians to attend the conference events.

We acknowledge that our prices may be considerable higher than similar conferences in the area, but we must remind you that VIHSMUN is a start-up conference taking place in some of the nicest conference spaces and hotels in Canada.

School-Affiliated Delegates
Room upgrades are to be requested by teacher sponsors only for all delegates travelling with a school. Some schools be automatically upgraded without charge based on a lottery system. Schools that cannot fill all rooms are required to pay the following upgrade fees per room without full occupancy. All delegates attending with a school must stay in the same hotel, as we will do our best to place rooms in close proximity. Teachers must also stay in the same hotel as their delegates, unless VIHSMUN is unable to do so.

Independent Delegates - With Legal Guardian
Independent delegates staying at VIHSMUN hotels with a parent or legal guardian cannot purchase rooms directly from VIHSMUN, as these rooms are reserved for delegates sharing with each other. Instead, families must purchase rooms seperately from the Marriott Inner Harbour or Fairmont Empress, and their attending students must pay VIHSMUN's day delegate fees to participate. Please contact the Secretariat for more information, and we may be able to facilitate the purchase of these rooms for you. We apologize for the inconvenience.
Independent Delegates - Without Legal Guardian
When and independent delegate's registration is approved, they will be prompted to select their room type, request their roommates, and pay their registration fee along with any room upgrade fees. If independent delegates do not request any roommates or room upgrades, they will be randomly placed in 2-4 occupancy rooms with others of the same gender identity and similar age. The prices below are listed per independent delegate. Delegates wishing to room together with a lower occupancy must each pay the indicated fees per person. Upgrading to an entire room allows one delegate to occupy a whole room of 2 queen beds (marriott) or 1 queen/king bed (Fairmont)

Teacher Sponsor Rooms
Teacher sponsor rooms are not included in VIHSMUN's delegate registration fees. Schools must pay us directly to book teacher sponsor rooms. Each of these rooms has one queen bed, and is meant to accommodate one teacher. Teacher sponsors must stay in the same hotel as their delegates. We do not charge extra per teacher sponsor room for random selection-based upgrades.

Volunteer High School Student Staff Rooms
As a conference in its inaugural year, the VIHSMUN society is unfortunately unable to pay for staff volunteer rooms. Staff are asked to request roommates, and pay the following fees per person, based solely upon room rates given to us by the hotels. Booking Single Occupancy at Fairmont ensures you have a private room. We have a limited supply of staff rooms, so they will operate on a first-come first-serve and availability basis. If you need help finding a roommate, or have any other questions or concerns regarding rooming for staff, please do not hesitate to contact Secretariat!

Financial Aid and Discounts
Please note that as a startup conference with limited funds, VIHSMUN has a limited supply of financial aid to supply, mainly supported by our sponsors. You may apply via emailing the Secretary General, Eli Alexander (SecretaryGeneral@vihsmun.ca), but please be aware that there is a substantial chance that your request will not be granted. We understand that our conference is more expensive than many others, but we ask that you understand our circumstances. We are a startup conference being held at some of the most beautiful, prestigious, and expensive venues in BC.

You will pay once your request has been approved, which we estimate will take 2-3 days.

Independent delegates may purchase their own rooms from the Fairmont or Marriott with their families or guardians, and VIHSMUN will allow their attendance with day delegate fees. We will allow guardians to attend the conference events.
